The Role
We're looking for a freelance Event Production Coordinator to support delivery across Camp Kindling and Camp Wildfire 2026.
You'll take responsibility for coordinating specific areas of the site and supporting the wider production team to keep everything running smoothly. This includes working directly with contractors, monitoring progress and helping resolve issues as they arise.
You'll work closely with the Production Manager, acting as a key link between suppliers, crew and the wider team.
Key Information
- Rates: £250/day onsite
- Dates: Approx. 21 days onsite between 17 August – 10 September 2026
- Location: A beautiful heritage pine forest near Sevenoaks, Kent
- Application Deadline: Midnight on 20 May 2026
- Food/Accom: Onsite accommodation & catering
What you'll be responsible for
Onsite delivery
- Coordinating the build of core infrastructure across the event site, ensuring delivery aligns with site plans and production schedules
- Supporting build, live event and break phases to help keep operations running on time and to plan
- Taking responsibility for a designated area of the site (e.g. the Sanctuary), coordinating multiple suppliers (water, structures, changing facilities, wellbeing providers, firewood etc.) and ensuring all elements come together safely, on schedule and to the required standard
- Monitoring activity across your areas and flagging issues early
Supplier coordination
- Acting as a primary point of contact for assigned contractors (e.g. structures), ensuring clear communication, timelines and specifications are met
- Supporting coordination between suppliers where required
Team & communication
- Supporting the Production Manager in day-to-day delivery
- Delivering clear, confident briefings to crew and assigned suppliers
- Ensuring teams understand their roles, schedules and safety protocols
Documentation & organisation
- Maintaining accurate logs of issues, updates and key actions
- Supporting smooth handovers between shifts and teams
- Assisting in keeping production documents up to date, including schedules, checklists and supplier contact logs
Problem solving
- Responding proactively to onsite challenges
- Escalating issues where appropriate
- Taking a calm, practical approach to problem solving
You'll be a great fit if you…
- Have experience working on outdoor events or festivals in an operations or production co-ordinator role
- Are happy to get stuck in and support the wider team during key moments, particularly in the run-up to opening
- Have a good understanding of event build, live and break phases
- Are confident managing multiple tasks across different teams and timelines
- Have experience supervising crew or small teams onsite
- Communicate clearly and confidently
- Stay calm and proactive in busy or high-pressure environments
- Take a collaborative, low-ego approach to working with others
- Are organised, reliable and detail-focused
Desirable experience
- Comfortable using spreadsheets or event management tools
- AutoCAD or similar
- First Aid Certificate
- Health & Safety qualification (e.g. IOSH)
- Driving Licence
